Merlin Free monthly allowance
Merlin Free, the Merlin plan every Tenant has, includes 1,000,000 tokens of Panoramic Data's AI each calendar month. This page explains what counts, how to see how much your Tenant has used, and what happens when it runs out. Merlin Pro and Merlin Enterprise are not limited by this allowance.
What a token is
A token is the unit AI models are measured in, roughly three quarters of a word. Both your question and Merlin's answer use tokens. To answer a question about your data, Merlin often has to look things up first, and each of those steps uses tokens too, so one question can use several thousand tokens.
What counts towards the allowance
- Every token Panoramic Data's AI uses to answer your Tenant's users, including the steps Merlin takes to look things up, counts
- Tokens answered by your organisation's own AI provider never count. Only Merlin Pro and Merlin Enterprise can use your own provider
- The allowance is for the whole Tenant, not for each user
How much you have used
Tenant Admins can see the month's figure in two places in the Admin app:

When the allowance is nearly used up
Once your Tenant has used 800,000 tokens (80% of the allowance) in the month, each of Merlin's answers ends with a note saying how many tokens have been used, and that Merlin will stop answering when the allowance is spent until it resets.
When the allowance is used up
Once your Tenant has used 1,000,000 tokens in the month, Merlin does not answer new questions. Instead it says plainly that the month's allowance has been used, and when it resets. It does not switch to a smaller model or give a shorter answer.
A question that Merlin had already started answering before the allowance ran out is finished, so the figure can go slightly over 1,000,000.
When it resets
The allowance resets at 00:00 UTC on the 1st of each month. Merlin answers again from then, without anyone needing to do anything.
If you need more
Merlin Pro and Merlin Enterprise are not limited by this allowance, and can also use your organisation's own AI provider. A Merlin Pro or Merlin Enterprise Subscription takes effect as soon as it is added, so you do not need to wait for the month to end. A Tenant Admin can buy Merlin Pro by card: in the Admin app, go to Tenant, then Subscriptions, and use Buy by card. For Merlin Enterprise, talk to us.
