Managing card billing
Once you have bought a Subscription by card, you manage it yourself from the Billing tab of the Subscriptions page, under Tenant in the Admin app. Only Tenant Admins can see it. Subscriptions that Panoramic Data invoices you for are shown there too, but have nothing to manage: any change to those goes through Panoramic Data.
Your card
The card that renewals are charged to is shown at the top of the Billing tab, for example Visa ending 4242, expires 11/2026, with a badge:
| Badge | What it means | What to do |
|---|---|---|
| Valid | The card is good for the next renewal | Nothing |
| Expiring | The card will have expired before the next renewal | Update the card before the renewal date |
| Payment failing | A card payment has failed and Stripe is retrying it | Update the card now. See the Card payment problems page |
Only the card's brand, last four digits and expiry date are shown. Magic Suite never sees or stores the full card number.
Update card or manage billing
The Update card or manage billing button opens Stripe's secure billing page for your Tenant. Stripe is our card payment provider. There you can:
- Change the card that renewals are charged to
- Change the number of units, such as devices or scheduled reports, on a Subscription
- Switch a Subscription between monthly and annual billing
- Cancel a Subscription
- See and download your invoices and receipts
When you return, a change shows on the Subscriptions page within about a minute. Refresh the page to see it.
The button is shown only to Tenant Admins whose Tenant has bought something by card.
Your paid Subscriptions
Below the card, a table lists each current paid Subscription:
| Column | What it shows |
|---|---|
| Product and Tier | What the Subscription is for, such as DataMagic Pro |
| Billing | Card, for a Subscription charged to your card, or Invoice, for one Panoramic Data invoices you for |
| Quantity | How many units it covers, such as 250 Devices. Products sold at a flat price show -- |
| Renews or Ends | The date the current period ends. Hover over it for the time, in UTC |
| Next Charge | For a card Subscription, the amount and date of the next charge, as Stripe will make it |
Next Charge can also say:
| Next Charge says | What it means |
|---|---|
| None: this subscription ends rather than renews | You have cancelled it, so it ends on the date shown and is not charged again |
| Invoiced by Panoramic Data | It is not paid by card, so Panoramic Data invoices you for it as agreed |
| Could not be read from the payment provider just now | Stripe did not answer. Your Subscription is unaffected. Refresh the page later |
If the tab says No paid subscription is running for this tenant, your Tenant has only free Subscriptions.
Merlin usage
The last line of the Billing tab shows how many Merlin tokens your Tenant has used this calendar month on Panoramic Data's AI, and your Merlin plan. On Merlin Free it is shown against the plan's monthly allowance of 1,000,000 tokens, with a bar. Tokens your own AI provider answered are listed separately, and do not count. See the Merlin Free monthly allowance page.
Changing the quantity or billing interval
- On the Billing tab, select Update card or manage billing
- Choose the Subscription, and change the quantity, or switch between monthly and annual billing
- Confirm the change
- Return to Magic Suite. Within about a minute the Subscriptions page shows the new quantity
Cancelling
Cancel a card Subscription with Update card or manage billing. It stays active until the end of the period you have already paid for, and is not charged again: Next Charge then says None: this subscription ends rather than renews. Payments are not refunded for part of a period, as the Terms of Service explain.
VAT and invoices
Stripe issues an invoice and a receipt for every card payment. You can see and download them at any time with Update card or manage billing, without contacting us.
If you buy as a business, enter your VAT or tax number on Stripe's payment page when you buy, and it appears on your invoices. Prices on the pricing page exclude VAT and other sales taxes. Where VAT or another sales tax applies, it is shown on Stripe's payment page before you pay and on your invoice.
Subscriptions with a Billing of Invoice are not in Stripe. Panoramic Data sends their invoices as before.
